Job Title:Senior Administrative Assistant

Description:Under the supervision of the Director of Financial Aid, the Administrative
Assistant provides general administrative and clerical support to the Director, the
Associate Director and the Office of Financial Aid in general. Duties include back-up support for the receptionist and Data Systems Operator, running reports, maintaining the filing system and filing, and handling the supervision and training of student employees.

Essential Duties and Responsibilities:

1) Provides administrative and clerical support for the Director, the Associate Director, and the Office of Financial Aid in general. Provides back-up support for the receptionist (front desk coverage, answering incoming telephone calls, etc.).
2) Provides back-up support for the Data Systems Operator by assisting with data entry, file review, and the notification process. Enters data from financial aid applications into Colleague when needed. Assists in sending letters ("Missing Information Requests") to notify students of missing documents. Assists counselors in preparing and completing files for review. Prints and sends Award Notification/Denial Letters as appropriate. (Using Colleague ST application, word, filemaker & excel programs.)
3) Assists the Director and Associate Director in long-term budgeting for supplies, student staffing, and publications. (Uses Colleague CF applications.)
4) Maintains the physical inventory of College owned equipment and notifies Comptroller of the purchase of new equipment that requires tagging.
5) Maintains an effective filing system and oversees the filing of all incoming application materials.
6) Hires, trains and supervises up to eight work-study student staff.
7) Responsible for maintaining the inventory and overseeing the off-site storage of inactive records. Reviews inventory and schedules destruction in accordance with state and federal guidelines annually at the correct time.
8) Coordinates large outgoing mailings.
9) Prepares letters, forms, reports, charts & spreadsheets, at the request of the Director and Associate Director, and other staff as needed.
10) Assists with the editing of and oversees the printing and copying of internal office forms, letters, and publications.
11) Maintains a monthly inventory and re-orders supplies as needed.
12) Ensures that the fax machine and printers are functioning properly and places service calls when needed.
13) Monitor and edit the content (using Adobe 11) of the various web publications – printing & giving to program officers to review as necessary.
14) Processes purchasing paperwork and conducts follow-up. Maintains records of all purchase requisitions and invoices. Orders office supplies and equipment as needed. Monitors inventory and re-orders supplies when necessary. Maintains organization of the supply closet.
15) OFA liaison to Auxiliary Services, Communications, Comptroller (re: physical inventory), Copy Center, Network and Telecommunication Services, Office of Scholarships and Student Employment (re: student staff) and Physical Plant.

Qualifications:Knowledge and Skills Required
1) Good verbal, writing, and mathematical skills.

Job Title:Assistant Technical Support Specialist

Description:Under the broad supervision of the LC Technical Support Specialist, the LC Assistant Technical Support Specialist is responsible for the development, implementation and maintenance, of the Learning Center technical resources and systems. Works closely with the Technical Support Specialist in planning, researching and implementing new technologies for the department’s needs. Supervises lab operations during some evenings and weekends.


Essential Duties and Responsibilities:

• Assists Technical Support Specialist for the selection, installation, and support of all student support resources: MIDI and Audio based computer music workstations, a broad variety of software programs, and audio and video equipment.
• Researches, recommends, and implements new technologies for the Learning Center facilities.
• Adapts software and hardware to the Learning Center setup, providing accessibility/flexibility for students while protecting the facilities system and software packages.
• Maintains, updates and implements systems and databases for tracking facility use, tutoring program’s sign up schedule, and internal ticket log.
• Sets up, upgrades, maintains and repairs equipment for all Learning Center facilities and offices.
• Oversees and trains student employees to assist for maintenance projects.
• Coordinates and advises presenters on the effective use of computer and audiovisual systems for special events.
• Maintains, in collaboration with the Media Development Area, the Learning Center website.
• Supervises the Learning Center’s facilities operation on some evenings and weekends.

Qualifications:

This is a unique, split position that helps two office of the External Affairs area meet its design support and office management needs.

Essential Duties and Responsibilities, Communication:
• Support the production and administrative need of the area through office supplies ordering, organizing and maintaining print samples archives, and other tasks to be assigned.
• Arrange photo shoots; oversee photo archive and database, select photos for projects, and field photo requests from other offices.
• Provide some design and production support for all areas projects, including print, web, multimedia, and emerging media channels, within the college’s established branding guidelines.
• Repurpose artwork created for print to use among digital channels including web and video, serving as a creative link between print and web design.
• Conduct page layout, photo editing, video and audio editing, and other responsibilities as needed.
• Hire, schedule, manage, and evaluate student employees.
• Stay current with new technologies and processes as needed.

Essential Duties and Responsibilities, Public Information
• Responsible for hiring, scheduling, managing, and evaluating up to four student employees.
• Oversees, along with OPI staff, such student employee responsibilities as: producing and sending mass press releases for annual events such as dean’s list, commencement, and spring awards; writing scripts for a weekly webcast and writing notices for the alumni magazine; updating media bulletin boards and CD display cases; creating press clip packages; recording video TV hits to TiVo and DVD; Maintaining press and video archives; and other tasks.
• Prepares and submits releases and stories with photos to Berklee.edu and media contacts.
• Performs office management responsibilities, including ordering office supplies, Profnet updates and queries, and phone answering.

The Community Product Manger will be responsible for developing a vibrant community of musicians from all over the world, working closely with the marketing and content groups to grow the member base and provide relevant programming such as webinars, podcasts and performances. The Community Product Manager will also work to seek out, secure and negotiate partnership deals both inside and outside the music industry.
